Technical information for speakers

Equipment and formats

  • All rooms at the conference are equipped with a PC with Office 365 and Microsoft PowerPoint.
  • Presentations must be compatible with presentation via Microsoft PowerPoint.
  • Please name your presentation [surname] [session name] [speaking date] eg Smith 3 Stress and welfare 23 June.
  • Please bring the final version of the talk loaded on a USB Memory stick so that it can be uploaded.
  • A copy of the presentation can also be emailed in advance to events@ufaw.org.uk.

Uploading presentations

Presentations for 23 June should be uploaded on to the PC during initial registration from 08:30. Those speaking in the afternoon of the 23 or on the 24 and 25 June should upload their presentations during the refreshment and lunch breaks.

Video and audio clips

If video or audio clips are to be used during the presentation, ensure they are embedded into the slides or are inserted via YouTube. Please check your video and audio is working as expected at the venue ahead of your presentation.

Timing and chairing

We are running parallel sessions at the conference and it is important all speakers stick to the time allocated to them:

  • Plenary talks have 30 or 40 minutes (which should include 5-10 minutes for questions).
  • Session talks have 20 minutes (13 minutes with 7 minutes for questions).
  • Symposia talks have 10 minutes (7 minutes with 3 minutes for questions)
  • Short talks have 3 minutes each. Short talk speakers will speak one after the other and at the end, each speaker will be available to answer one or two questions (if time).

To help speakers stick to time, chairs have been given yellow and red cards:

A yellow card means start wrapping up – approximately 3 to 5 minutes left of allocated speaking time.

A red card means stop.

Short talks

Please ensure your slides do not exceed the time limit for short talks and follow the Technical information for speakers guidance.


Due to the time constraints of a short talk, we also encourage you to support your talk with an additional virtual poster outlining in more detail elements that you will be unable to cover in depth, should you wish to do so.

The poster should take the form of a .pdf and/or a hi-res image file (eg .jpeg) and must include:

  • the title of your presentation,
  • names of all co-authors and their affiliations and can include any acknowledgements of support/sponsorship for the work,
  • university/company logos etc. It must be in English.

Please send the virtual poster to events@ufaw.org.uk before 1 June. Please name the file [surname] [speaking date] + poster, eg Smith 23 June poster.

Technical information for posters

Displaying your poster

  • Posters will be displayed on the 1st floor of Senate House – at the back of Chancellor’s Hall and outside in the Grand Lobby.
  • All posters should be displayed before the start of the conference on 23 June and taken down before the end on 25 June.
  • Posters will be mounted on the boards using Velcro, which will be provided.
  • You should display your poster on the board that has the number allocated to you.

Format and content

We encourage poster designs that are imaginative, visually attractive and informative.

  • Posters must highlight the implications of the work detailed for animal welfare.
  • Posters should be A0 size (ie 1189mm high x 841mm wide) with a portrait orientation.
  • Posters should be legible from a distance of 2-3m.
  • Font sized at 20pt or higher is recommended.
  • Posters can include text, images, tables, graphs etc.
  • Posters can include interactive elements, like QR codes, linking to videos, supporting references or more information.
  • Each poster must have a title and list of authors matching that in the conference proceedings and submitted abstract.

Poster sessions and viewings

Delegates will be able to view posters throughout the conference, including during the drinks reception on the evening of 23 June.

There will be two designated poster sessions during the lunch breaks on 23 and 24 June. We ask that poster presenters are available to answer questions during their assigned session: presenters with odd-numbered boards on 23 June, and presenters with even-numbered boards on 24 June.

Making posters available online

We plan to give delegates access to a .pdf or a hi-res image file (eg jpeg) of each poster. This should be sent to events@ufaw.org.uk before 1 June. Please name the file [surname] [speaking date] + poster, eg Smith 23 June poster.
